Publishing after the end of your UU contract

You are currently carrying out research whilst employed by Utrecht University, but you do not expect to publish this research until after you have left the university. Read here to find out what your options are regarding the use of:  

  • open access agreements  
  • the Taverne scheme
  • the Rights Retention strategy (for authors with a current NWO, ERC or ZonMW grant)

Open access deals  

You can still make use of open access deals via UU, provided that UU is listed as your affiliation on your article. Do you have a co-author who remains affiliated with UU? Consider assigning corresponding author status to that co-author. If you are unable or unwilling to do so, please follow these steps: 

  • Please let the library know that you want to make use of a deal by emailing library.publishingsupport@uu.nl.  
  • In the journal’s submission system, use your personal email address as your contact details, not your UU one. The latter will expire when you leave the university.   
  • Indicate Utrecht University as your affiliation on the article and in the submission system.

Taverne Scheme

You can still make use of the Taverne Scheme to publish your work open access through the UU Repository. 

If you have co-authors who can make the work openly accessible via their own institutional repository, via the Taverne Scheme or the Rights Retention Strategy, then you do not need to do so yourself. If that is not possible, please follow these steps: 

  • Let the library know that you wish to make use of this service and email your publication to repository@uu.nl. The library will then upload the publication to Pure on your behalf, as you will no longer be able to access Pure yourself.
  • Make sure Utrecht University is stated as your affiliation on your article or chapter.
  • If you have external research funding, only use this option for publications for which your funder does not require immediate open access.

Rights Retention Strategy

Do you currently have a research grant from NWO, ZonMW or ERC? If so, you can still make use of the Rights Retention Strategy, as this right is attached to your grant and not to your UU contract. Using this strategy means that all rights to the author’s version of your publication remain yours. This means that you can share it in any repository you prefer. Please note: if you have a ZonMW grant, share your article at least in EuropePMC.

Will the article be submitted after your UU contract ends? It is probably easiest to submit the article under your new affiliation and follow the Rights Retention procedure at your new institution, if applicable.

Would you rather put your UU affiliation on the article, or will you submit your article before the end of your contract? Follow these steps:

  • Put your UU affiliation on the article or chapter.
  • After acceptance: Notify the library that you want to use the Rights Retention procedure and email your accepted manuscript (AAM) to repository@uu.nl. The library will then upload the publication to Pure on your behalf, as you will no longer be able to access Pure yourself.
